Booking and Confirmation

  • A booking is confirmed when Sankofa Afrika Safaris receives a deposit (or full payment, depending on the trip) and issues a written confirmation to the client.
  • The person who makes the booking must be authorised to act on behalf of all travellers in the group.

Payment

  • A non-refundable deposit (e.g., 25%–30%) is required to secure the booking.
  • The balance must be paid by a specified date before departure (e.g., 45–60 days), unless otherwise agreed.
  • All bank or transaction fees are borne by the client.

Cancellation by Client

  • Cancellation must be notified in writing (email or letter).
  • Cancellation fees depend on the notice period:
    • 60 days or more: loss of deposit
    • 59–45 days: 25% of total trip cost
    • 44–30 days: 60% of total trip cost
    • 29 days or less: 100% of total trip cost

Amendments

  • Clients can request changes (dates, number of people, accommodation), but a handling fee may apply.
  • Changes made close to departure (e.g., within 30 days) may incur additional service supplier costs.

Itinerary Changes & Force Majeure

  • Sankofa Afrika Safaris reserves the right to alter the itinerary, accommodation, transport, or services due to unforeseen circumstances (weather, political unrest, road conditions, etc.).
  • In the event of force majeure (events beyond control), Sankofa Afrika Safaris may cancel or change bookings, and will attempt to refund amounts already paid, less unavoidable costs.

Travel Documents & Visas

  • Clients are responsible for obtaining valid passports, visas, health certificates, and any required travel documentation.
  • Sankofa Afrika Safaris is not liable for any loss, cost, or damage arising from a client’s failure to have necessary documentation.

Insurance

  • All clients must take out comprehensive travel insurance covering medical expenses, personal accident, repatriation, cancellation, and other relevant risks.
  • Sankofa Afrika Safaris is not responsible for clients’ insurance coverage.

Health & Medical Conditions

  • Clients must inform Sankofa Afrika Safaris of any pre-existing medical conditions at the time of booking.
  • Clients are responsible for ensuring they are fit for the trip activities.

Liability & Risk

  • Clients acknowledge that safari activities involve some inherent risk.
  • Sankofa Afrika Safaris, its employees, and subcontractors are not liable for death, injury, loss, or damage to personal property arising from the trip, except as required by applicable law or due to gross negligence.
  • Clients undertake to follow the instructions of guides and comply with local laws and regulations.

Baggage / Personal Effects

  • All baggage and personal items are the client’s responsibility.
  • Sankofa Afrika Safaris does not accept liability for loss, theft, or damage of personal items.

Complaints

  • Any complaints during the trip should be raised immediately with your guide or representative so they can be addressed promptly.
  • After the trip, complaints must be submitted in writing within 30 days of trip completion.

Prices, Surcharges & Taxes

  • Prices are based on current rates (lodging, park fees, transport, taxes).
  • Sankofa Afrika Safaris reserves the right to impose surcharges if there are significant cost increases (fuel, taxes, currency fluctuations, etc.).
  • Clients will be notified of any price changes and given the option to cancel or accept the increase.

Use of Photos & Marketing

  • Sankofa Afrika Safaris may use photographs and videos taken during tours for marketing purposes.
  • By booking, clients give permission for their image to be used unless they explicitly opt-out in writing.

Governing Law & Jurisdiction

  • These Terms & Conditions shall be governed by and construed in accordance with the laws of Uganda
  • Disputes shall be submitted to the competent courts of Uganda
